Frequently Asked Questions
What does OutProsys do?
OutProsys provides outsourced data processing services for businesses that need to turn incoming documents, forms, images, emails, videos or other information into accurate, usable data.
In simple terms, clients send OutProsys raw or unprocessed information. OutProsys captures, extracts, validates and returns the data in the format the client needs, often directly into their internal systems. This helps businesses reduce manual admin, improve turnaround times and maintain better data accuracy.
Is OutProsys a call centre?
No. OutProsys is not a call centre and does not provide voice-based customer support services.
OutProsys focuses on back-office data processing. This includes processing documents, scanned forms, emails, images, videos and other incoming business data. The work is usually done behind the scenes, where accuracy, turnaround time and secure handling are more important than customer-facing communication.
What types of data can OutProsys process?
OutProsys can process a wide range of business data, including handwritten forms, scanned documents, application forms, invoices, claims documents, medical case sheets, survey forms, emails, images and AI-flagged video events.
The common thread is that the client has information coming into the business that needs to be captured, checked, structured and returned in a reliable format. This can be for once-off projects, but OutProsys is especially well suited to ongoing, high-volume workflows.
How does outsourced data processing work?
The process usually starts with the client sending documents, files, images or data to OutProsys through an agreed secure method. OutProsys then captures or extracts the required information, validates it for accuracy, and returns the completed data to the client.
Depending on the workflow, the final data can be returned through secure FTP, API integration, file upload or another agreed method. In some cases, OutProsys can also provide secure document hosting or a searchable portal so the client can refer back to the original records when needed.
Can OutProsys process handwritten documents?
Yes. Handwritten document processing is one of OutProsys’ important strengths.
Some documents are too inconsistent, unclear or sensitive to rely on OCR alone. In these cases, OutProsys can use experienced human operators, double-capture methods and quality control processes to improve accuracy. This is useful for healthcare forms, application forms, claims documents, field records and other handwritten business documents.
How does OutProsys use AI and human validation?
OutProsys can combine technology, AI-assisted tools and human validation to process complex information more accurately.
AI can help identify, classify or extract information quickly, but it is not always perfect. This is especially true with handwritten data, unclear documents, unusual formats or AI-flagged video events. OutProsys adds the human-in-the-loop layer, where trained operators review, validate and correct information so the client receives more reliable data.
What business problems does OutProsys help solve?
OutProsys helps businesses deal with slow turnaround times, high manual processing costs, poor data quality, backlogs, staffing pressure and inefficient paper-based workflows.
The service is especially useful when a business has large volumes of incoming information that must be processed accurately and quickly. This could include claims, invoices, application forms, customer records, medical forms, logistics data, survey responses or documents that need to be digitised and structured.
Can OutProsys support high-volume or ongoing data processing?
Yes. OutProsys is well suited to high-volume and ongoing processing work, particularly where the service becomes part of the client’s daily or weekly business process.
The best-fit projects are usually not just once-off scanning jobs. OutProsys adds the most value when a business needs a reliable long-term processing partner that can handle volume, maintain accuracy, meet turnaround requirements and integrate processed data back into existing systems.
Does OutProsys work with UK and South African clients?
Yes. OutProsys is based in South Africa and works with clients in South Africa, Southern Africa and the United Kingdom.
The UK is an important market for OutProsys because South Africa can offer skilled back-office processing support at a more cost-effective rate than many UK-based operations. For UK clients, OutProsys can support secure offshore data processing where turnaround time, accuracy and compliance requirements are carefully managed.
What makes OutProsys different from a standard data capture company?
OutProsys does more than basic data capture. The company helps clients design and manage outsourced data processing workflows that can include document capture, data extraction, quality control, human validation, secure data transfer, system integration and document retrieval.
This makes OutProsys a better fit for businesses that need accuracy, scale and process reliability rather than a once-off admin task. Their strongest value is in complex, high-volume workflows where the client needs processed data returned quickly, securely and correctly.
